Pray, take note of the following site restrictions mandated by the architects of this gathering:

  • No Individual Hearths: Personal campfires and open ground fires are strictly forbidden. All must gather at the shared ceremonial flames.
  • Alcohol Policy: The Site has approved limited alcohol for the event. No alcohol sales are permitted. No distilled, fortified alcohol, or hard alcohols are permitted. IDs must be checked and alcohol that you bring must be monitored. Federal, state, and local laws apply. For questions, please contact the Event Steward.

📜 A Note on Encampment Protocol

Please be advised that the Encampment Registry is separate from your SCORES registration.

Following a protocol similar to War of the Wings, if you intend to camp and wish to be placed within a specific Quarter or alongside your friends and household, you must fill out the Camping & RV Registration form.

Travelers who register via SCORES but do not submit a petition for land may be placed at the discretion of the Site Steward in the open fields.

Baronial Event Refund Policy

Event Refunds shall be provided as follows: The Exchequer, the Autocrat, or Event Reservationist must receive refund requests, in writing, no later than five days after the event ends. Exceptions may be made by the approval of the Emergency Financial Committee. No refund shall be issued until the event books have been closed.

No refund(s) will be issued until all financial obligations of the event have been fulfilled and only if it is ensured that the requested refund(s) will not hinder the event's ability to fulfill those financial obligations. No refund(s) will be given to those who have checked in at gate. Approved funds will be issued minus any processing fees assessed. The Baronial Event Refund Policy Shall be posted on Baronial Event websites. Refund checks must be cashed or deposited within 90 days of the date of the check, or they will be forfeited, and the face value of the check returned to the General Fund.

Event FAQ & Site Policies

Our core guideline is simple: care for the site and be mindful of your fellow attendees. Every specific protocol detailed below flows from that single baseline obligation, provided to ensure an environment free of incident.

Logistics & Camping
Can I bring my dog to the event site?

While the hounds of the Sacred Stone are a welcome sight across our lands, the bustling environment of a tournament camp requires care and vigilance. To ensure a safe, clean, and peaceable environment for all two- and four-legged attendees, please adhere to the following site edicts:

  • Bound by Leash: All dogs must be kept on a secure leash and remain under the active control of a responsible handler at all times to ensure they do not wander into harm's way amidst the excitement of the event.
  • Vaccination & Local Law: In accordance with county and city ordinances, all pets brought onto the event grounds must be fully compliant with local vaccination laws. Handlers should ensure their companions' documentation is up to date.
  • Keeping the Camp Clean: It is the sole duty of the handler to immediately pick up any waste left behind by their companion. Trash cans are conveniently available across the event site for proper disposal.
  • The Great Halls & Food Areas: Gentle companions are welcome to accompany their handlers inside the halls. However, to maintain health and safety standards, we strictly request that no animals enter any designated food preparation areas.
  • Peaceable Accord: Companions who show aggression, exhibit distress, or disrupt the peace of the camp with persistent barking must be escorted back to their owner's tent or off-site by their handlers to ensure the comfort of the populace.
  • Full Financial Liability: By bringing a pet onto the event grounds, the handler assumes full legal and financial responsibility for the animal's behavior and any damages incurred.
How can I charge my CPAP batteries?

A designated charging station will be available at the Gate for medical equipment batteries. It is the responsibility of the individual to clearly label their equipment and supply their own battery units.

Can I pitch my tent where the RVs are parked?

No. RV parking spaces on site are severely limited; therefore, designated RV camping areas are strictly restricted to RVs only. General tent camping must be set up within the standard designated populace camping fields.

What are the designated Quiet Hours?

Quiet Hours run from 11:00 PM until 7:00 AM. Out of courtesy for those resting, please keep musical instruments, loud performances, and high-decibel camp activities inside these hours well-contained.

What is the site policy on Smoking & Vaping?

Smoking and vaping are strictly barred from all communal and public areas. Please be mindful of where the breeze carries any exhaust, and ensure all filters or waste are placed into proper disposal bins.

What are the rules regarding campsite boundaries and site property?

Please exercise absolute respect for the fairground facilities, physical resources, and permanent structures on site. The personal camp, property, and privacy of your fellow attendees should be fully honored—do not enter another group's encampment without an explicit invitation, and never take items that are not yours, even in jest.

What are the behavioral expectations for the event?

Our community thrives on mutual courtesy and respect, standards that apply both on-site and across all digital spaces where our members interact. While we welcome individual expression, speech that crosses into bullying, defamation, or malicious behavior will not be tolerated.

We hold a zero-tolerance policy for targeted mistreatment or actions that disrupt the safety and peace of the populace. Actions that violate these community standards—regardless of whether they breach modern statutes—are grounds for formal disciplinary measures, up to and including the removal of your membership and a permanent ban from society activities. Ill intent and hostility have no place at our hearth.

These policies align with the core standards established in the SCA Code of Conduct and Sanction Guide.

What is the policy regarding Harassment & Bullying?

The SCA prohibits the harassment and bullying of all individuals and groups. Anyone who engages in it is subject to appropriate sanction.

If you are subjected to harassment, bullying, or retaliation, or if you become aware of anyone else being harassed, you do not have to handle it alone. Help is close at hand, and reaching for it is always the right call.

What should I do if something goes wrong or I feel unsafe?

SPEAK UP.

If you ever encounter an emergency, feel threatened, or simply need an immediate refuge from a situation, a private location has been set aside on site where you will remain fully protected while the Event Steward and Seneschals are briefed. You will not be asked to navigate the issue alone or justify your distress first—notify any member of the event staff or walk directly to the gate, and our team will handle everything from there. When on site, flagging down any staff member is your fastest path to assistance.

Are Firearms allowed on site?

Firearms are not allowed on site.

Children & Minors
What are the policies and safety rules regarding minors?
  • Non-Guardians: Adults sponsoring a minor who is not their legal child must possess a notarized Minor Medical Authorization Form at all times during the event.
  • Supervision Standards: Families are fully liable for the actions and conduct of their children. To ensure their safety, any child under the age of 12 must remain within clear visual or hearing range of an assigned responsible adult or youth supervisor.
  • Nighttime Curfew: A strict curfew takes effect at 11:59 PM, at which point all minors must return to and remain within their designated household encampments.
  • Protocol for Lost Children: If you spot an unsupervised child who appears separated from their group, please request that an independent bystander remain with you and the youth as a witness, then immediately alert the nearest event staff member.
